Invoice Manager

Invoice Manager allows registered users to access all the documents issued by SWIFT to your institution, such as invoices and credit notes, over the last 12 months.

You can search documents by using the following search criteria:

  • Reference: Enter a document reference. If a reference is entered, then all other search criteria will no longer be available for selection.
  • Type: Two types of documents are available: invoice or credit note. Select ALL if you want to have a view on all document types in a single view.
  • BIC: The BIC of the institution invoiced by SWIFT. To access the documents for additional BICs, sub-members and aggregated members, select another BIC. By default, the field is pre-filled with the BIC associated to your registered user profile.
  • From (Date): Select a start date to limit the search to a certain period.
  • To (Date): Select an end date to limit the search to a certain period.
  • Status: Two statuses are available: open and paid. Select ALL if you want to have a view on all documents in a single view.

After you click Search, all documents for the selected period will be displayed on the screen, along with the total amount. To view detailed information and download a copy of the document in PDF, click on the document reference. Note that some documents will only be available by the 8 of each month at the latest.

You can make use of the following functions:

  • Filter criteria: To refine your search, enter specific criteria.
  • Sorting: To sort the documents differently, use the arrow that is available on every column header.
  • Download: To download the result in a table format, click on the download button.
  • List of additional documents: Download a copy of all documents for the previous month in one single compressed file.
 

Account Statement

This section provides the registered users with an account statement over the past 12 months. The overdue documents are highlighted in red and remain visible irrespective of the date.

You can search documents by using the following search criteria:

  • Paying Institution BIC: The BIC of the institution that is used to pay invoices to SWIFT. To access the documents for additional BICs, sub-members and aggregated members select another BIC. By default, the field is pre-filled with the BIC associated to your registered user profile.
  • Account Number: SWIFT internal paying institution identifier. This number is referenced on each SWIFT invoice next to Customer Number.
  • Status: Two statuses are available: open and paid. Select ALL if you want to have a view on all documents in a single view.
  • Invoicing Company: Select the SWIFT Company that is used to invoice your institution. This information is available on each invoice at the left-hand side. By default, the invoicing company is “S.W.I.F.T s.c.r.l.”. For some specific products, such as local training or CREST products, a different invoicing company can be used.
  • Currency: Select the currency that SWIFT uses to invoice your institution.
  • From (Date): Select a start date to limit the search to a certain period.
  • To (Date): Select an end date to limit the search to a certain period.

After you click Search, all documents for the selected period will be displayed on the screen, along with the remaining balance. To view detailed information and download a copy of the document in PDF, click on the document reference. Note that some documents will only be available by the 8 of each month at the latest.
